"Printer offline" is one of the most frustrating messages in Windows — especially when the printer is clearly switched on. The cause is usually communication between the laptop and printer, not the printer itself. Try these fixes in order.
1. Restart everything
Turn off the printer, laptop and Wi-Fi router. Turn on the router first, then the printer, then the laptop.
2. Check the connection
- USB: try a different port and cable.
- Wi-Fi: check the printer is connected to the same network as your laptop (print a network configuration page from the printer menu).
Need a technician? If your printer jams, prints blank or streaky pages, shows an error light or will not connect, a FixMyTech technician can check it and share the findings and estimate before any repair. Book a printer repair online, call 085950 05049 or visit our workshop at Shop No. 71 New, Gwal Pahari, Gurugram.
3. Turn off "Use Printer Offline"
Settings → Bluetooth & devices → Printers & scanners → your printer → Open print queue → Printer menu → untick Use Printer Offline.
4. Clear the print queue
Cancel all stuck documents in the print queue.
5. Restart the Print Spooler
Press Win + R, type services.msc, find Print Spooler, right-click → Restart.
6. Set the printer as default
In Printers & scanners, select your printer and click Set as default. Turn off "Let Windows manage my default printer" if it keeps switching.
7. Fix Wi-Fi IP changes
Wi-Fi printers can get a new IP address after a router restart, breaking the connection. Reserving a fixed IP for the printer in your router settings usually solves repeated offline problems.
8. Reinstall the printer
Remove the printer from Windows, download the latest driver from the manufacturer's website, and add it again.
9. Run the printer troubleshooter
Settings → System → Troubleshoot → Other troubleshooters → Printer.
10. Update printer firmware
Use the printer's app or web page to check for firmware updates.
Still offline?
If the printer shows errors on its own display, will not join Wi-Fi or does not respond to USB, there may be a hardware fault in the printer's network or control board. At FixMyTech in Gurugram we check both the printer and the laptop setup, so the fix covers the real cause.
Frequently asked questions
Why does my printer go offline every day?
Usually because its IP address changes or it goes into deep sleep. A reserved IP and updated firmware help.
Can I print from my phone instead?
Most modern printers support printing from phones via the maker's app or built-in mobile printing.
Does a VPN affect printing?
Some VPNs block local network devices. Disconnect the VPN to test.
