Wi-Fi Printer Setup: Print From Laptop and Phone Without Hassle

A correctly set-up Wi-Fi printer works for every device in the house. Here is how to do it and avoid the usual problems.

Wireless printer next to a laptop and smartphone

A Wi-Fi printer lets everyone in a home or small office print from laptops and phones without cables. But a rushed setup often leads to "printer offline" messages and frustration. Here is how to set it up properly.

Step 1: Connect the printer to Wi-Fi

Most printers offer one of these methods:

  • Printer control panel: choose Wi-Fi setup, select your network and enter the password.
  • WPS button: press WPS on the router, then on the printer (if supported).
  • Maker's app: HP Smart, Canon PRINT, Epson Smart Panel or Brother iPrint&Scan guide you through setup.

Print a network configuration page afterwards to confirm it is connected and to note its IP address.

Step 2: Reserve the printer's IP address

In your router's settings, reserve a fixed IP address for the printer. This prevents the address changing after a router restart — one of the most common causes of offline problems.

Need a technician? If your printer jams, prints blank or streaky pages, shows an error light or will not connect, a FixMyTech technician can check it and share the findings and estimate before any repair. Step 3: Add the printer in Windows

Settings → Bluetooth & devices → Printers & scanners → Add device. If Windows finds it, add it. For full features, install the manufacturer's driver or software.

Step 4: Print from your phone

  • Android: use the default print service or the maker's app.
  • iPhone/iPad: use AirPrint (built-in for compatible printers) or the maker's app.

Make sure the phone is on the same Wi-Fi network.

Common problems and fixes

  • Printer not found: check that the laptop or phone is on the same network, not a guest network.
  • Works sometimes: reserve the IP and update firmware.
  • 2.4GHz vs 5GHz: many printers only support 2.4GHz. If your router combines bands, the printer may still connect fine — but check the manual if it struggles.
  • VPN on the laptop: may block local devices.

Security tips

  • Change default admin passwords on the printer's web page.
  • Keep printer firmware updated.
  • Disable unused features such as Wi-Fi Direct if not needed.
